Overview

Taskoneer (“we”, “us”, “our”) respects your privacy. This policy explains what we collect, how we use it, when we share it, and the choices you have.

What We Collect

Information you provide

  • Account details (name, email, password in hashed form, profile settings, optional business name)
  • Workspace details (name, subdomain, branding, colour preferences, seat count)
  • Content you add to the Service: projects, tasks, messages, files, time entries, clients, quotes, retainers, meetings, diagrams, scope changes, and welcome/onboarding items
  • Billing choices (plan, seat count). Card payments are processed by Stripe; we do not store full card numbers
  • Contact form submissions on the marketing site
  • Optional two-factor authentication (TOTP) configuration

Information collected automatically

  • Usage and device data (IP address, browser/device/OS, pages and features used, timestamps, referrer)
  • Cookies and similar technologies for login, security, session management, and preferences (see Cookies below)

Information from third parties

  • Stripe transaction and subscription status
  • Security and authentication events (for example verification status and login attempts)

Workspaces and Visibility

Each workspace has its own isolated data store. Information you add to a workspace is visible to members of that workspace according to their role and project permissions. Workspace owners manage membership and billing.

How We Use Information

  • Provide and operate the Service (accounts, workspaces, collaboration, support)
  • Process subscriptions and billing
  • Send service emails (verification, invitations, notifications, quotes, meetings, billing, and important updates)
  • Improve reliability, features, and security; prevent fraud and abuse
  • Comply with legal obligations and enforce our terms

How We Share Information

  • Within your workspace: data is visible to members based on roles and permissions
  • Service providers: vendors that help run the Service (payments, email delivery, hosting/infrastructure)
  • With people you direct us to contact: for example meeting guests, quote recipients, and invitation recipients whose email addresses you provide
  • Legal: when required to comply with law or to protect rights and safety
  • Business transfers: in a merger, acquisition, or asset sale
  • With your direction: when you ask us to share

We do not sell your personal information.

Security

We use reasonable safeguards including encryption in transit (HTTPS/TLS), access controls, and application-level encryption for many sensitive fields (such as message content, project scope, meeting agendas and links, and diagram data). No system is completely secure, but we work to protect your data.

Retention

We retain data while your account and workspace are active. When a workspace owner deletes their account, we permanently delete the workspace database, related files, and associated landlord records as described in the deletion flow, except where we must keep limited records for legal, security, or operational reasons (including short-lived backups).

Your Choices & Rights

  • Update account and profile settings in the Service
  • Control notification preferences where offered
  • Request access, export, correction, or deletion where applicable
  • Control cookies in your browser (some cookies are required for core features)
  • Opt out of non-essential marketing (service emails may still be required)

If you are in the EEA (GDPR) or California (CCPA), you may have additional rights. We honour applicable rights requests as required by law.

Children

Taskoneer is not intended for users under 18, and we do not knowingly collect data from children.

International Transfers

Your data may be processed in countries other than your own. We use appropriate safeguards where required.

Cookies

We use cookies and similar technologies for authentication and session management, security (for example CSRF protection), preferences (for example dark mode), and live chat on the marketing site (Tawk.to) when enabled. We do not currently use third-party product analytics on the marketing site unless we state otherwise in an updated version of this policy.
